Spare parts management and a price list of repair services

Sort your repair services into groups such as screen, battery or software, each with its labour cost. Your spare parts are products in your stock. Add a part to a repair and it is held for that device. It leaves the warehouse when the customer takes the device.

What is a maintenance centre management system?

Intake and repair tickets

How do I take in a device for repair?

Open a new repair ticket, choose the customer and the device model, write the problem and save. The ticket gets its own reference and you can print the receipt at once.

Can I write down the accessories left with the device?

Yes. Note what the customer left with it, such as the charger, the case or the SIM tray, so everything goes back with the device.

Can I ask for the passcode or the serial number at intake?

Yes. Create your own intake questions as text, a number, a list of choices or a tick box, and mark the ones that must be answered.

Does the customer get a receipt for the device?

Yes. Print the intake receipt with the ticket reference. When the repair is finished, print the repair invoice.

Can I find a repair by the customer's phone number?

Yes. Search the repairs by reference, by the problem or by the customer's name, company or phone number.

Statuses, services and parts

How do I track the status of every repair?

Each ticket has a status that you change as the work moves, such as received, under repair, ready and delivered. Filter the list by status, technician or ready date to see where things stand.

Can I create my own repair statuses?

Yes. Name them, colour them and put them in your order. Each one is tied to a stage that decides what happens to the parts and the money.

When do spare parts leave my stock?

When the device is delivered. Until then they are only held for that repair, so you never sell a part that a waiting device needs.

What happens to the parts when a repair is cancelled?

The parts that were held for it go back to your free stock. Nothing is taken from the warehouse.

Can I keep a price list of my repair services?

Yes. Put your services in groups such as screen or battery and give each one a labour cost. On a ticket you can change the cost for that one repair.

Technicians and staff

How do I add a technician?

Choose one of your employees and mark them as a technician. Then add their skills and their commission.

How is a technician's commission worked out?

Either a fixed amount for each repair or a percentage of the labour on that repair. The spare parts are not counted.

When does a technician earn the commission?

When the repair is delivered and the customer has paid in full. It is written once, by itself, and you mark it paid when you pay it.

Can I see which technician repaired which device?

Yes. Every ticket shows its technician, and the list of repairs can be filtered by technician.

Can I record the tools I hand to each technician?

Yes. Record each tool or device you hand to an employee, with its serial number and the dates it was handed over and returned.

Payments, warranty and accounts

Can the customer pay a deposit before the repair?

Yes. Record a deposit at intake and the final payment at pickup. Each payment names its method and the cash box or bank account it went into.

Do I have to enter repairs in my accounts by hand?

No. Payments and delivered repairs are recorded in your accounts by themselves, with the labour and the parts on separate lines.

Can a customer pay for a big repair in instalments?

Yes. After the device is delivered, what is left to pay can be put on an instalment plan and followed until it is paid.

Does every repair get a warranty?

Yes. When a device is delivered, its ticket gets a warranty end date that you can see at any time.

What if a repaired device comes back under warranty?

Open a warranty repair linked to the first ticket and give it the back under warranty status. You see both repairs together.

Can my customers follow their repairs online?

Yes. When customers sign in to their account, they see their repairs with the device, the status, what was done and what is left to pay.

Can I run more than one maintenance centre?

Yes. Add your branches and their warehouses. Each repair takes its parts from its own warehouse, and you can move parts from one branch to another.

Is my repair shop data kept apart from other businesses?
